Job description

Financial Transaction Management & Handling:

  • Process of invoices, expenses and other financial transactions
  • Liaise with internal stakeholders and external vendors.
  • Monitor financial workflows and deadlines, proactively identifying and addressing issues or bottlenecks.
  • Support the implementation of process improvements to enhance efficiency and effectiveness within the finance department.

Administrative Support:

  • Ensure adequate follow-up of specific mailboxes to support our local stakeholders.
  • Maintain accurate records and files, both electronic and physical, ensuring compliance with data protection regulations.
  • Assist in the preparation of legal documents and obligatory declarations and handling all linked correspondence.
  • Assist in preparing financial reports, presentations, and documentation as required.

Data Management:

  • Input and maintain financial data in relevant databases, spreadsheets and software systems.
  • Ensure accurate follow-up on, verify timesheets, and process them in the relevant systems.
  • Conduct regular data checks and audits to ensure data integrity and accuracy.
  • Assist in the analysis and interpretation of financial data to support decision-making processes.

Communication and Collaboration:

  • Serve as a central point of contact for all internal inquiries related to finance data, processes and procedures. Provide timely and accurate information, or directing queries to the appropriate person.
  • Collaborate with colleagues across different departments to facilitate cross-functional initiatives and projects.
  • Communicate effectively with team members and management, report progress, highlight concerns and suggest solutions when needed.


  • A bachelor's degree in finance, accounting, business administration or a related field is preferred.
  • Proven experience in a similar administrative or support role, particularly in finance or accounting.
  • Strong proficiency in MS Office Suite, particularly Excel, Word and PowerPoint.
  • Familiarity with financial software and databases (e.g. Afas, Sage, Adfinity) is a plus.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Exceptional attention to detail and accuracy in data entry and documentation.
  • Effective communication skills, both written and verbal, with the ability to interact professionally with colleagues at all levels.
  • Languages: Dutch and/or French, fluency in English is a must.
  • Proactive mindset, with the ability to anticipate needs, identify opportunities for improvement and take initiative.
  • Adaptability and willingness to learn new tools and processes as required.
